Salesforce Case Team alternative
Salesforce Case Teams let you add a group of users to a Case, but they work only on the Case object, depend on predefined team roles, and cannot expire access automatically. Flexible Team Share is a free app that brings the same team-based sharing to any standard or custom object, creates the underlying share automatically, and supports temporary access that removes itself when it expires.

Case Teams are Salesforce's built-in way to give several users access to a specific Case, each with a team role such as agent or escalation manager. They are handy for support and escalation, but they are hard-wired to the Case object, require pre-configured roles, and have no concept of time-boxed access. The moment you need the same collaboration on Opportunities, Leads, Contracts, or a custom object — or you need access that ends on its own — you fall back to sharing rules, manual sharing, or Apex. The table below compares the options for case-team-style record access.

What Salesforce Case Teams can and can't do
A Case Team is backed by a dedicated CaseTeamMember object and a set of pre-defined CaseTeamRole records that control each member's access (read or read/write) and visibility. That model works well inside the Case object: you add people, pick their role, and Salesforce grants the matching share. But it is specific to Cases — there is no equivalent for Opportunities beyond Opportunity Teams, none for Leads, Orders, or Contracts, and none for any custom object. Case Teams also have no automatic expiry: once someone is on the team, they stay until a person (or an Apex job you build) removes them.
When you've outgrown Case Teams
Three needs usually push admins past native Case Teams. First, other objects: support and delivery rarely live on Cases alone — a project, an asset, or a contract often needs the same group of people. Second, temporary access: contractors, auditors, and escalation specialists should lose access automatically when their work ends, not whenever someone remembers to clean up. Third, setup overhead: Case Team roles must be configured up front, which is friction when you just need to share one record with a few people. Sharing rules are too broad for this, and manual sharing has no team concept and no expiry.
How Flexible Team Share replaces and extends Case Teams
Flexible Team Share brings the Team Members experience to any object that supports sharing — Cases included, plus Leads, Opportunities, Orders, Contracts, and all of your custom objects. An admin enables team support per object with a point-and-click wizard, then drops the Object Team Member component onto the record page. When a user adds a member, FTS creates the correct share automatically; removing the member revokes it. You can grant temporary access that expires on its own, with no predefined roles to maintain and no Apex to write. It is 100% free on AppExchange, with no limits on objects, teams, or members — so you can keep native Case Teams where they fit and use Flexible Team Share everywhere else.
Frequently asked questions
What is a Case Team in Salesforce?
A Case Team is a group of users — such as support agents, managers, or specialists — added to a specific Case, each with a team role that defines their access. Case Teams only exist on the Case object and are configured through predefined team roles.
Can I use Case Teams on custom objects?
No. Native Case Teams work only on the Case object. Flexible Team Share recreates the same team-based sharing on any standard or custom object, so you can add members to a Project, Asset, or any custom record and the app handles the underlying share automatically.
Do I have to predefine team roles?
Native Case Teams require you to set up Case Team Roles before you can add members. Flexible Team Share lets you add a member and choose their access level (Read or Edit) directly on the record — no role configuration required.
Can case team access be temporary?
Native Case Teams have no built-in expiry. With Flexible Team Share you can set an end date when you add a member, and access is revoked automatically when it passes — ideal for escalations, contractors, and auditors.
Is it really free?
Yes. Flexible Team Share is 100% free on Salesforce AppExchange, with unlimited objects, teams, and members — no premium tiers, time-limited trials, or hidden fees.
